1. About Synaptex AI & Synaptex OS

Synaptex AI (trading as Synaptex OS) is a white-labeled AI automation platform based in Stratford-upon-Avon, Warwickshire, UK. We provide productised 24/7 autonomous AI voice and WhatsApp agents, CRM workflows, and lead-to-appointment automation primarily for Solar & Renewables and Fringe Medical/Aesthetics businesses across the UK.

2. Services & Pricing

Our core offering is the AI Growth Suite at £279 + VAT per month (plus one-time setup). All prices are ex-VAT. We also offer an AI Receptionist tier (£149/mo) and bespoke solutions. Services are delivered via our white-labeled Centripe infrastructure and supported by our Virtual Assistant team.

3. Payment & Subscription

Subscriptions are billed monthly in advance via GoCardless (preferred UK Direct Debit) or Stripe. You may cancel at any time with 30 days' notice. Access is automatically suspended for failed payments in line with our SaaS model.

4. Data Protection, GDPR & AI Compliance

We are registered with the Information Commissioner's Office (ICO) as a Data Processor. All client and end-customer data is processed in UK/EU data centres, encrypted at rest and in transit, and never used to train public AI models. Our AI agents clearly identify themselves as AI in every interaction (per EU AI Act Article 50). You retain full ownership of your data and customer conversations. We maintain SOC 2-aligned security standards and “human-in-the-loop” escalation triggers on every workflow.

5. Client Responsibilities

You must provide accurate business information via our Knowledge Base questionnaire so the AI can be correctly configured. You are responsible for maintaining your own calendar links, pricing, and service details inside the platform.

6. Limitation of Liability

Synaptex AI's total liability is limited to the fees paid in the preceding 12 months. We are not liable for indirect or consequential losses. Our AI is designed as a co-pilot, not a replacement for human decision-making on regulated matters.

7. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
